The problem

Thousands of reviews. A team moving every one by hand.

The organisation needed to process reviews at a scale where the existing operation was becoming the bottleneck. Staff were calling people one by one, asking the required questions, recording answers, chasing anyone who didn't respond, following up on incomplete applications, collecting supporting evidence, checking documents, and updating records as each case moved forward. The work didn't stop after the call. An unanswered phone meant another attempt. An incomplete review meant follow-up. Missing evidence meant another message. New documents had to be checked. Application statuses had to be updated. Questions had to reach the right person. Multiply that by thousands of reviews and the operation becomes mostly coordination. The existing portal could hold the information. What it couldn't do was move the work forward on its own.

The workflow continues after the conversationA successful call is not the end of the process. Every contact outcome changes what should happen next. Completed reviews move forward. Partial reviews remain active. Non-responders can enter another outreach phase. Missing information can move into self-service completion. The platform tracks where each person is and determines the next operational step instead of relying on staff to maintain follow-up lists. The call collects the review. The system carries it forward.

One lifecycle, two different experiencesApplicants and staff need completely different interfaces. The applicant portal is designed around completing information, uploading evidence, checking progress, and responding to what is still required. The admin portal is designed around campaigns, applications, evidence, enquiries, progress, review decisions, and exceptions. Both operate against the same underlying application lifecycle. The user sees what they need to complete. Staff see what they need to act on.

Documents arrive pre-checkedSupporting evidence isn't simply uploaded and left for someone to inspect manually. Documents are analyzed as they enter the platform. The system extracts relevant fields, identifies the document type and issuer, compares information against the application, flags mismatches, and assigns a verification state. Documents that clearly satisfy the requirements can move forward while uncertain or conflicting evidence is surfaced to staff. AI performs the first pass. Humans keep the final judgment.

The operation has its own control systemAt this scale, automation needs visibility and recovery, not just successful happy paths. Campaign execution is batched and protected against duplicate runs. Failures can stop execution before they cascade. Application statuses are advanced by scheduled rules. Enquiries are surfaced automatically. AI usage is tracked. Operational failures are monitored. Staff can see what has happened, what still needs attention, and where intervention is required. Automation removed the repetitive work without removing operational control.
